JOB DESCRIPTION:

Administrative Assistant
Cayuga Community College Foundation
Full time / 12 month position

The Cayuga County Community College Foundation is a non-profit organization whose mission is to enhance and provide assistance for educational and related programs for the students, faculty and staff of Cayuga Community College. The Administrative Assistant will directly support the administrative needs of the Foundation, including but not limited to the Executive Director, Deputy Director and the Board of Directors.  The successful candidate will be expected to perform confidential, complex administrative tasks and to provide the organization with high quality office support. The Administrative Assistant will possess strong verbal, written, and interpersonal communication skills, as well as project management experience and proficiency with all Microsoft support tools.

REQUIREMENTS:

  • Provide administrative support to the Foundation Office and its Board;
  • Prepare confidential correspondence, documents, letters, reports and other materials for the Executive Director, Deputy Director and others;
  • Maintains all aspects of the records and ensures constituent records are accurate;
  • Process scholarship donations, applications and requests, and communication with recipients and donors;
  • Manage accounts payable by maintaining records for statement preparation;
  • Manage projects, deadlines, assignments and mailings as directed by the Executive Director;
  • Utilize database management software to maintain data and produce reports, as requested;
  • Serves s first point of contact for the Foundation and appropriately responds to inquiries in a professional and confidential manner;
  • Communicate with internal and external constituents;
  • Confidentially maintain Outlook calendars;
  • Secure venues, schedule meetings, take and maintain minutes of Board and committee meetings;
  • Provide support and assist the Executive Director and Deputy Director with Foundation-sponsored events as needed;
  • Maintain a current inventory of supplies, equipment and other resources;
  • Follow-up and follow through on action items;
  • Keep pace with the Foundation’s ever-changing priorities and projects; and
  • Perform other duties as assigned by the Executive Director.

QUALIFICATIONS:

  • Bachelor’s degree or, in the alternative, an equivalent combination of education and relevant work experience (at minimum)-;
  • Prior administrative experience in a professional office is expected;
  • Proficiency with computer operations (e., Microsoft Office 365, database management, etc.) required;
  • Experience using Banner and donor management, and other CRM is a plus:
  • Excellent oral, written, and interpersonal communication skills required;
  • Strong attention to detail, accuracy and organizational skills;
  • Ability to display and maintain a positive and professional demeanor; and
  • Proven flexibility and teamwork.

DATE TO BE FILLED:

COMPENSATION:

$45,000 to $55,000 / year

Depending on successful candidate's qualifications
