JOB DESCRIPTION:

DEPARTMENT:        Student Affairs / Finance / HR

APPOINTMENT:       12 Months (ESP)

REPORTS TO:           Vice President for Student Affairs

SUMMARY: The Administrative Assistant performs confidential, complex tasks and support for executive-level professionals, exercises independent judgment, and performs administrative and office support activities for multiple supervisors. Duties include preparing confidential materials for executive-level professionals, disseminating information regarding policies and practices, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. The Administrative Assistant will possess extensive software skills, internet research abilities and strong communication skills.

REQUIREMENTS:

  • Prepare confidential correspondence, documents, letters, reports and other materials for executive-level professionals within Finance, Payroll, Administration and Human Resources.
  • Provide administrative support for area projects and initiatives;
  • Exercise independent judgment in completing assignments and disseminating information regarding policies and practices; work with the VP for Student Affairs in complying with all College policies;
  • Answer telephones and respond to inquiries in an appropriate, professional, and confidential manner; convey a positive demeanor/attitude in all interactions. May handle first level consultation to resolve employee relations issues.
  • Confidentially maintain executive-level professionals’ Outlook calendars;
  • Utilize appropriate technology and databases as appropriate (Banner, OnBase, ConexEd);
  • Schedules meetings, take and maintain minutes of meetings, Councils, and Committees as needed;
  • Support the Human Resources and Student Affairs with administrative tasks related to campus meetings, events, and other sponsored activities.
  • Assist the Accountant position in gathering of invoices, as well as emails associated with the processing of accounts payable, and other payable functions.
  • Assists in the management of employee fringe benefit programs, new employee orientation, compliance trainings and related paperwork.
  • May assist in workers compensation files.
  • May provide assistance with payroll functions including preparation of required data for the processing of payroll, verification of computer reports and deductions.
  • Assists with gathering documentation for reimbursement on capital projects and grants;
  • May supervise student workers
  • Assists in assembling the annual budget documents;
  • Perform other duties as assigned.

QUALIFICATIONS:

  • Graduation from a regionally accredited or New York State Registered college or university with a Bachelor's degree in accounting, business administration, public administration or closely related field and one year of administrative or supervisory office or program management experience with a public agency or private business; OR
  • Graduation from a regionally accredited or New York State Registered two year college or university with an Associate's degree in accounting, business administration, public administration or closely related field and three years of administrative or supervisory office or program management experience with a public agency or private business; OR
  • Graduation from high school or possession of a high school equivalency diploma and five years of administrative or supervisory office or program management experience with a public agency or private business; OR
  • An equivalent combination of training and experience as defined by the limits of (A), (B), and (C).

$49,888 / year
